We are Pixel Perfekt, a dynamic and growing digital printing company, and we are seeking a highly organized and motivated individual to join our team as our Admin/Receptionist. This crucial role will be the first point of contact for our clients and visitors, contributing significantly to the smooth and efficient operation of our office.

Job Description:

As our Admin/Receptionist, you will be responsible for a diverse range of tasks, including:

  • Handling all incoming calls with professionalism and courtesy. You will be responsible for answering, screening, and directing calls appropriately, as well as taking detailed and accurate messages.
  • Proactively managing and ordering office and production materials. This involves anticipating needs, researching vendors, and ensuring we have the necessary supplies on hand to meet production demands.
  • Meticulously tracking and managing office supplies inventory. You will implement a system to monitor stock levels, identify low inventory, and place timely orders to avoid shortages.
  • Establishing and maintaining strong relationships with our suppliers. You will be the primary contact for supplier inquiries, negotiating pricing, and resolving any issues that may arise.
  • Generating, issuing, and tracking purchase orders, and meticulously maintaining supplier invoices. This includes verifying invoices against purchase orders, processing payments, and maintaining accurate records.
  • Preparing and sending customer statements accurately and on time. You will ensure that statements are error-free and delivered promptly to maintain positive client relationships.
  • Coordinating and managing shipments with various courier services. This includes preparing shipping documents, tracking shipments, and resolving any delivery issues.
  • Performing general administrative tasks, including data entry, filing, and organization of invoices and waybills. You will maintain an organized and efficient filing system to ensure easy access to important documents.
  • Scheduling appointments and managing the company calendar. You will coordinate meeting times, book conference rooms, and ensure that the calendar is up-to-date and accurate.
  • Maintaining and updating staff schedules, tracking time off requests, and ensuring accurate attendance records.
  • Maintaining a clean, organized, and welcoming office environment. This includes light housekeeping duties, such as tidying up common areas, ensuring the reception area is presentable, and managing office cleanliness.
  • Providing administrative support and assisting sales staff with daily duties as needed. This may include preparing presentations, creating documents, and providing other general support to the sales team.
